Use Outlook e-mail to retrieve our Website E-mail

Behind the Scenes Blog Tools-Topic 2 Outlook e-mail to retrieve our website e-mail.  In we talked about retrieving our website e-mails by logging in to Blue Host. I am an Outlook user and I am in Outlook a lot.  So, the question: is there another way–can we retrieve our website e-mails in Outlook? The answer: Yes, and this post will show you how.

Outlook e-mail Settings

I am using Windows 7 and Outlook 2010.  Even if you have something different, theses steps may guide you enough in order to get your website e-mail to Outlook e-mail.

  1. Control Panel    Mail icon

  2. If you get the “Mail setup” screen, just click Show Profiles

  3. We are now at the “Mail” screen where all the profiles are listed. If you have already used Outlook for email, there should be at least one profile listed.

  4. Make sure the button is clicked for  Prompt for profile to be used

  5. Click Add…

  6. Type in a profile name.

    1. I typed Simplify. When I set up the second domain (in a later blog), I typed Barb ST-Blog.

    2.  OK.

  7. A new screen appears. Check Manually configure server settings    Next

  8. Internet E-mail    Next

  9. Type in Your name and e-mail address.

    • My name: Barb.

    • E-mail: barb@simplifytechnologyblog.com

  10. Account Type:  POP3. (If your previous profiles were IMAP, you could do that one.)

  11.  Incoming mail server:  mail.simplifytechnologyblog.com

  12. Outgoing mail server: mail.simplifytechnologyblog.com

  13. Type in your Logon Information:

    • User Name: barb@simplifytechnologyblog.com

    • Password: type in the specific Blue Host e-mail password you created.

    • Check Remember password.

  14. On the right side Click Test Account Settings…

  15. If there are no problems, you will receive a message of “Congratulations”. Click Close.

    • If there is an error, go back through every step to trouble-shoot.

  16. Click Next  Close   Finish

  17. The “Mail” screen will now appear and your newly added profile will appear. Click OK.

Open up Outlook e-mail

  1. Open Outlook e-mail and press the down arrow.

  2. You should see your website profile that you just set up.

  3. Choose the profile and . . .  your e-mails should appear.

Now you have two choices.  You can go to Blue Host to retrieve your website e-mails or you can retrieve them with Outlook e-mail.  I like choices.  Leave a comment and tell me any of your ideas.

P.S. I had problems: I was able to receive e-mails in Outlook,  but NOT send them

Remember my intro about frustration. Here is one idea: Frustration = so close but yet so far.  Once again, my frustration is going to save YOU some time.  If you were able to receive e-mails but not send them via Outlook email . . . here is the solution that worked for me.  Go slow and go step by step. It  seems long but it’s just clicking through pages to get to the exact places you need to make two changes.

  1. Control Panel Mail icon

  2. If you get the “Mail setup” screen, just click Show Profiles

  3. We are now at the “Mail” screen where all the profiles are listed.

  4. Click on the profile that you just set up.

  5. Click Properties

  6. Click E-mail Accounts

  7. Click the icon that says change.

  8. Go to the very bottom on the right. Click More Settings

  9. Click the Outgoing Server tab.

  10. Click “My outgoing server (SMTP) requires authentication” and make sure “Use same settings as my incoming mail server” is selected

  11. Click the Advanced tab.

  12. Scroll down to “Outgoing server (SMTP)”: type in 26

  13. Click OK and then Test Account Settings

  14. The test should come back good.

  15. Click Close    Next    Close    Finish like you did before.

  16. Continue to  Close until you are back to the “Mail Screen”. Click OK.
